1. Information We Collect
When you use our website, we may collect information that you voluntarily provide, including:
- Your name
- Your email address
- Your telephone number
- Details of the stay you are asking about: your dates, the number of guests, how many of them are children, how many dogs you are bringing, and what you will be doing during your stay
- Any other information you choose to enter into our free-text submission box
- Technical information associated with your visit, including your IP address and information about the approximate location or origin of your connection
Please do not submit sensitive or unnecessary personal information unless it is specifically requested by the website.
2. How We Use Your Information
We may use the information you provide to:
- Respond to your enquiry or request
- Contact you regarding your submission
- Provide or improve the services offered through the website
- Maintain and administer the website
- Protect the website against abuse, spam, fraud and security threats
- Understand website usage and technical issues
- Comply with applicable legal obligations
We will not use your information for purposes that are incompatible with those described in this notice.
Data protection law requires us to have a legal reason for each of these uses. Ours are:
| What we do | Our legal reason |
|---|---|
| Answering your enquiry and arranging your stay | It is needed to take the steps you have asked for before a booking contract, and to carry out that contract |
| Asking what you will be doing during your stay | Our legitimate interest in making sure the house suits your plans and in looking after the property |
| Keeping records of bookings | Our legal obligation to keep tax and accounting records |
| Keeping the website secure and stopping spam and abuse | Our legitimate interest in protecting the website and the information our guests give us |
3. Storage of Your Information
By submitting your information, you acknowledge that your information may be stored electronically by us and by service providers that help us operate the website.
We will take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse or disclosure.
We keep personal information for the following periods:
| Information | How long we keep it |
|---|---|
| Enquiries that do not become a booking | Deleted automatically 36 months after the initial enquiry or booking date. |
| Bookings, including bookings that are later cancelled | Deleted automatically 3 years after the end of the stay, because tax rules require us to keep these records |
| Security backups of the booking system | Daily backups are kept for 90 days and weekly backups for up to 3 years |
| Website security logs, which include IP addresses | Kept for a limited period for security purposes, then deleted |
When information is deleted from our booking system, copies may remain in our backups until those backups expire. Backups are stored securely, are not used for any other purpose, and are only used to restore the website if something goes wrong.
4. Cloudflare and IP Information
This website uses Cloudflare to help provide, secure and operate the website.
Cloudflare may process technical information about visitors, including IP addresses and information relating to the visitor's connection. This information may be used for purposes such as security, preventing malicious traffic, detecting abuse and improving the reliability of the website.
IP addresses may provide information about the general geographic area or origin of a connection. We do not claim that an IP address provides your exact physical location.
Cloudflare may process information in accordance with its own privacy practices and terms.
5. Cookies
Our public website does not set cookies or track you, and we do not use advertising or analytics services.
Our Location page does not load Google Maps automatically. The map only loads if you click the Load Google Map button, and by clicking it you consent to Google receiving and processing information about your visit. Alternatively, you can click the address link to open the location directly on Google Maps in a new browser tab, which also sends information to Google.
Once the map loads, Google may collect:
- your IP address, and the approximate location that can be worked out from it
- your browser type and version, operating system, device type, screen size and language settings
- the address of the page you were viewing when you loaded the map
- the date and time of your visit
- cookies or similar identifiers that Google may store on or read from your device
- how you interact with the map, such as zooming, moving or searching
We do not receive this information and have no control over what Google collects or how it is used. Google's own privacy policy and cookie policy apply: https://policies.google.com/privacy. If you would prefer not to share any information with Google, please do not load the map. The address is shown in full on the page so you can look it up in another way.
6. Sharing Your Information
We will not sell your personal information, and we do not share it for advertising.
We share information only with trusted service providers where this is necessary to operate, secure or maintain the website or provide the service requested by you:
We may share or process information with trusted third-party service providers where reasonably necessary to operate, maintain and secure our website, manage bookings and enquiries, deliver communications, or provide services you have requested. These providers may process information on our behalf and are expected to handle it appropriately and securely.
We only share information to the extent necessary for these purposes. Where an enquiry notification is sent to us, it may contain a reference number and the dates you have requested rather than your name and contact details, which are held within our booking system. Any subsequent email correspondence may be processed by the providers responsible for delivering and storing those communications.
We may also disclose information where required to do so by law, regulation, court order or other valid legal process.
7. International Transfers
Some of our service providers, including Google and Cloudflare, may store or process information outside the UK, including in the United States. Where this happens, your information is protected by the safeguards UK data protection law requires for international transfers, such as the UK's adequacy arrangements or approved contract terms.
8. Your Data Protection Rights
Depending on the circumstances and applicable law, you may have rights including:
- The right to request access to personal information we hold about you
- The right to request correction of inaccurate information
- The right to request deletion of your information
- The right to request restriction of processing
- The right to object to certain processing
- The right to withdraw consent where processing is based on consent
- The right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113
If you live in the European Union, you can also complain to the data protection authority in your own country.
Requests relating to your personal information can be made by contacting us, and we will respond within one month:
9. Complaints
If you are unhappy with how we have handled your personal information, please tell us first, so we can put it right. Email northnorfolkholidays28@gmail.com with "Data protection complaint" in the subject line.
- We will acknowledge your complaint within 30 days
- We will look into it and tell you the outcome without undue delay
- If you are still unhappy, you can complain to the ICO, as set out in section 8
10. The Tick Box on Our Enquiry Form
By ticking the box on our enquiry form, you confirm that you have read this notice and you consent to us keeping the information described in section 1 and using it in the ways described in section 2.
This consent sits alongside the other legal reasons set out in section 2. Where we need to keep information to carry out a booking or to meet tax and accounting obligations, we will continue to do so even if you withdraw your consent.
You may withdraw your consent at any time by emailing northnorfolkholidays28@gmail.com. Withdrawing consent does not affect the lawfulness of processing that took place before you withdrew it. If we ever ask for your consent for something else, such as sending you marketing emails, we will ask separately.
11. Information You Submit
You are responsible for ensuring that information you voluntarily enter into the website is appropriate to submit.
Please do not provide passwords, payment-card information, health details or other highly sensitive personal information, or information about another person unless the website specifically requests it and you have an appropriate reason to provide it.
12. Changes to This Notice
We may update this Privacy Notice from time to time.
The latest version will be made available on this website and will include the date on which it was last updated.
